Tanya, that is a great addition. Meetings are not staff counseling sessions, and employees will start avoiding them if they fear they will be the object of direct (or almost worse, indirect) dressing-down or correction.

I appreciate and agree with the wonderful points made above, it really freshens up your attitude to see and feel the enthusiasm and logic that is a prerequisite of a successful and cumulative meeting. The clarity and relevance of all agenda items, and general business, discussed at meetings, is much better kept as much to the point as humanly possible! Also beware agenda items for meetings which are thinly disguised excuses for 'public whipping posts'. Any negativity and/or critiscm of a staff members work or methods should only be discussed privately and beneficially between appropriate staff members, not aired at a staff meeting in the guise of a thinly veiled agenda item. This does happen, and is unethical and uncalled for and will not promote good will, nor rapport or a sense of security in the workplace.

Thank you for #3. Meeting showcases for previously-made decisions seem to be very common in all types of organizations. I think everyone would say they had witnessed such a meeting at least once. But I think you'd be hard pressed to find anyone who would know (much less, admit) that they had been part of the problem that created such a meeting. Why is that? Do we all have a hard time seeing our own control issues? Our own subversion of the decision-making process that is in place? *sigh* Makes me sad, I say...sad!

Oh, Shannon, what an excellent point. A clear, compact agenda does encourage the quieter contributors to speak. It also makes it easier for everyone to generate ideas.

Agendas are brain maps.

Agendas are key. By sticking to them, meetings can be kept short, sweet, and are more likely to be of use to all the people invited to attend. They're very useful in keeping the breathless late person from their V.I.S. I've also found people who tend to be quiet and hesitant to speak up are more likely to contribute if they know the meeting is brief and focussed; knowing exactly when their opening will occur, and their teammates will still have energy and the desire to listen, helps a great deal. This blog should be mandatory reading.
